Factory audits, material reports and finished-product documents serve different purposes. Buyers should confirm exactly what each file covers before relying on it for an order.

Management-system certificates relate to the certified company, site, activities, scope and validity period stated on the document.

Social Compliance Audits

BSCI, SMETA and similar audits review factory conditions. They are not product certifications for a specific SUP, dock or pool.

Material and Chemical Reports

Material reports cover the tested material reference and listed test items. Colors, accessories and later batches may require separate confirmation.

A document should only be used for the scope, company, material, model and test items that it actually identifies.

Factory Level Management-system certificates, BSCI, SMETA or other factory audit records. The audit or certification status of the stated company, site, activities and validity period. That every product manufactured at the site complies with every destination-market product requirement.
Material Level REACH, RoHS or other chemical and material test reports for listed materials or components. The test results for the specified material reference and listed test items. That all colors, accessories, suppliers, future batches and finished products are automatically covered.
Product Level Model-specific test reports, declarations, labels, manuals and technical documentation. The results and documentation for identified products, structures and testing scopes. That a different size, construction, material, component or intended use has the same status.
Buyer verification note: A document may be genuine but still unsuitable for a proposed order if the company name, product model, material, standard or testing scope does not match.

How Buyers Should Review a Certificate or Test Report

Do not review only the document title or logo. Check whether its details match the supplier, material or product you intend to purchase.

  • Legal Company Name Confirm that the stated company matches the proposed supplier or relevant material provider.
  • Factory or Site Information Check which location, activity and business scope are included.
  • Product Model or Material Reference Confirm that the report identifies the proposed model, structure or material.
  • Test Standard and Items Check which requirements were actually assessed rather than relying on a general certificate name.
  • Laboratory or Audit Body Review the issuing organization and available verification information.
  • Issue Date and Validity Confirm whether the document is current and whether an expiry period applies.
  • Covered Scope and Limitations Review exclusions, tested components, markets and any conditions stated in the report.
  • Match with Bulk Specification Confirm that the proposed bulk order has not changed from the tested or approved sample.
Verification warning: A valid-looking document is not sufficient if the company name, product model, material reference or test scope does not match the proposed order.

What is the difference between ISO, BSCI and product documentation?

ISO certificates generally relate to management systems, while BSCI and similar programs relate to factory social-compliance audits. Product documentation relates to identified products, models, standards and testing scopes.

Can an existing test report be used for a customized product?

It depends on whether the customized dimensions, construction, materials, components and intended use remain within the existing report scope. Significant changes may require technical review or additional testing.

Can Huale coordinate third-party testing for a new OEM product?

Testing coordination can be reviewed after the product specification, target market, required standard, sample configuration and laboratory requirements are confirmed.

Who pays for additional product testing?

Laboratory fees, sample costs, transportation and payment responsibility should be confirmed in the quotation before testing begins.

When should compliance requirements be submitted?

Requirements should ideally be provided before quotation or sample development. Submitting them after bulk production has started may require changes to the product, packaging, labels or project schedule.

Can you prepare labels and manuals for different markets?

Huale can prepare production artwork based on buyer-approved wording, translations, warnings and market requirements. The buyer remains responsible for approving the final content.

What documents are supplied with a shipment?

The shipment-document package depends on the product, destination, Incoterm, customs requirements and written order agreement. The agreed list should be confirmed before shipment.
