The brand owners who contact us with the most frustration aren’t the ones who haven’t found a factory yet — they’re the ones who have. They ordered samples, everything looked fine, and then the production batch arrived with the wrong pantone color, a generic logo placement that didn’t match the mockup, and pump bags printed in the wrong language for their market. Starting over costs them three months and a significant portion of their launch budget.
I’m Charlie, Senior Industrial Designer at Huale Inflatables. We’re a Guangzhou-based OEM/ODM factory producing drop-stitch inflatable products — including air tracks — for gymnastics brands, fitness retailers, and Amazon private label sellers in North America, Europe, and Australia. I’ve guided over 200 private label launches through our production pipeline over the past 15 years, and the ones that complete in 60 days or less follow a clear, repeatable process.
This guide covers that process in the exact sequence we use at the factory — from your first product spec decision through to a container on the water. If you’re planning a private label air track launch and want to know what’s realistic, what’s flexible, and where most brands lose time, read through before you contact any supplier.
Step 1: Product Selection — Deciding What You’re Actually Selling Before You Brief a Factory
Most private label timeline overruns happen in the first week — not during production — because the buyer arrives at the factory brief with an incomplete spec. A factory can’t quote accurately, can’t pull matching stock, and can’t start sample tooling until you’ve locked down four decisions. This is the list.
Thickness: 10cm or 20cm
This is your market segment decision as much as a product spec. 10cm drop-stitch tracks target home users, beginner-level gymnasts, and children — they’re compact, light, ship efficiently, and sit in the $80–$140 retail price range in the US and EU. 20cm tracks are for gymnastics clubs, martial arts academies, and school PE programs — higher price tolerance, more demanding performance expectations, and buyers who will actually check your certifications before purchasing. If you’re not sure which segment to start with, our order data from Amazon FBA sellers consistently shows 3m × 1m × 10cm as the fastest-moving first SKU for new brands building review volume.
Size: Length and Width
Our standard production sizes — no mold fee, no tooling delay — cover widths of 1m, 1.2m, and 1.5m at lengths from 2m to 10m in 1m increments. Custom sizes outside this range require a one-time tooling fee of USD $300–$800 and add approximately 10–14 days to the sample timeline. For a first private label launch, I recommend starting with a standard size. You can differentiate on branding, color, and packaging — you don’t need a proprietary size dimension to stand out on Amazon or in a distributor catalog.
Surface Type
Three options: smooth PVC (entry-level only, not recommended for branded products above the $60 retail tier), embossed diamond or crocodile texture PVC (our standard — 0.9mm top sheet, good grip, appropriate for home and beginner club use), and suede-top bonded surface (premium option, excellent grip for bare feet and gymnastics hand grips, strong product photography, approximately USD $8–$14 per unit premium over embossed). If you’re positioning against existing $100+ Amazon listings with strong reviews, the suede top differentiates clearly in product imagery.
Color
Standard production colors in our ready-stock PVC library: navy blue, teal, purple, pink, red, and black top sheets with contrasting black or grey bottom panels. Custom PMS color matching is available for orders above 200 units with a 7-day lead time for the custom-dyed material. For orders of 50–199 units, select from our standard color library — there are 12 top-sheet colors available, and we can send physical swatch samples before confirming your order.
Step 2: The Brand Brief — What to Send Your Factory and in What Format
The quality of your private label output correlates directly with the quality of the brief you provide. A vague brief produces a generic result. A precise brief — with files in the right format and clear placement instructions — produces a factory sample that matches your mockup on the first revision round. Here’s what we need from you before we start any OEM work.
Logo File Requirements
We need your logo as a vector file in AI or EPS format, minimum. PNG at 300dpi or above is acceptable for print placement on carry bags and instruction booklets. JPEG files are not acceptable for surface printing on the track itself — low-resolution logos print with visible edge artifacts at the sizes we work with. If your logo is currently only available as a PNG pulled from a website, a graphic designer can convert it to vector in under an hour — this is not an optional step. For surface screen printing or heat transfer on the track: maximum two colors at standard pricing; up to four colors available at a per-unit premium of approximately USD $1.80–$3.20 depending on print area size.
Track Surface Placement
Standard logo placement options on our air tracks: center panel print (most common for product photography), end panel print near the valve (lower-visibility but cost-efficient), or full-length strip print along one side edge (available on 4m and above, popular with gym brands wanting coach/audience-visible branding). For Amazon listings, center placement photographs best in flat-lay hero shots and is what we recommend for new brands without an existing visual identity on their product line.
Carry Bag and Pump Bag Artwork
We produce carry bags and pump bags in-house on a minimum of 50 units. Standard bag construction is 600D polyester with a PVC backing — durable, wipe-clean, and appropriate for retail presentation. We print your artwork via sublimation printing on the front panel, which produces full-color output at no per-color charge. You supply the artwork file (AI or PDF, minimum 300dpi at print size), and we handle the print-to-bag production. Lead time for branded bag production runs 5–7 days concurrent with track production, so they don’t add to your total timeline if briefed at the same time.
Instruction Booklet
We produce bilingual instruction booklets in-house. Standard language pairs: English + German, English + French, English + Spanish, English + Dutch. Other languages available on request with a PDF proofing round. Booklet content covers inflation instructions, PSI specifications, care and storage, repair kit usage, and warranty information. We can include your brand name and contact details on the back cover — provide these details in your brief. Booklet production is included at no charge for orders above 100 units. For orders of 50–99 units, a flat fee of USD $120 covers setup and print.
Step 3: The Sample Stage — What to Check, What to Approve, and How to Avoid a Second Round
The sample stage is where most private label timelines either stay on track or slip by two to four weeks. The slippage almost always comes from one of two causes: unclear approval criteria from the buyer, or a factory that doesn’t actually make samples from production-equivalent materials. I’ll cover both.
Our 7-Day Sample Standard
For standard OEM air tracks — sizes within our production mold range, colors from our standard PVC library, and logo print in one or two colors — our sample turnaround is 5–7 business days from brief approval and sample payment receipt. Brief approval means we have your confirmed spec sheet, logo file in correct format, and written sign-off on the color swatch reference. If any of those elements are missing or need revision after we’ve started, the clock resets on that element.
For custom color-matched PVC or suede-top surface bonding, sample lead time extends to 12–15 business days. For ODM projects requiring modified construction, plan for 20–30 days. We communicate these timelines before production starts, not after.
What the Sample Includes
Every sample unit ships with the full production-equivalent kit:
- Air track in your specified size, color, and surface type
- Double-action hand pump (rated to 0.35 bar / 5.1 PSI)
- Electric pump in voltage appropriate to your market (110V ETL for US; 240V CE for EU/UK)
- Repair kit: 3 PVC patches and contact cement appropriate to the track material
- Carry bag in production material (branded bag if brief provided; unbranded if not)
- Draft instruction booklet (final language and layout for approval)
Sample cost is based on small-batch production pricing — it reflects actual material and labor cost, not a discounted preview. The full sample cost is credited toward your first production order above 50 units, so the financial exposure is limited to shipping cost if you decide not to proceed.
What to Check When the Sample Arrives
Run this evaluation in this sequence — not all at once. Inflate to rated PSI using the included pump, then leave sealed for 48 hours and measure pressure loss. Acceptable: under 3% pressure loss at 48 hours. If the sample fails this test, reject and request investigation before approving production. Surface feel, logo registration, and color accuracy matter — but a unit that loses pressure overnight will generate returns regardless of how good it looks in the listing photos.
Check seam integrity under inflation pressure: run a finger along every perimeter weld and look for visible gaps, bubbles, or uneven bonding. Our production uses HF (high-frequency) welding throughout — not hand-glued construction — so a properly welded seam feels smooth and continuous with no flex at the bond line. Any softness or visible ridge at a seam under pressure is a production defect that should be flagged before you approve.
Revision Rounds
Our standard OEM contract includes two sample revision rounds at no added charge. If the first sample requires a color adjustment or logo repositioning, we produce a revised sample within 3–5 business days. If a third revision round is needed due to a material or construction issue on our side, we cover it. If a third revision is needed due to a change in your brief after the first approval, a USD $80–$150 revision fee applies depending on what needs to be reworked. The clearer your initial brief, the less likely you are to use more than one revision round.
Step 4: Production — What Actually Happens Between Sample Approval and Shipping
Once you approve the sample in writing, we issue a production order confirmation and schedule your batch into our production floor. Understanding what happens during that window — and what the realistic variables are — helps you plan your launch inventory timeline accurately.
Production Lead Times by Order Volume
| Order Quantity | Production Lead Time | Notes |
|---|---|---|
| 50–199 units | 18–25 days | Standard colors, 1–2 color logo print |
| 200–499 units | 20–30 days | PMS color match available at this tier |
| 500–999 units | 25–35 days | Priority scheduling on request |
| 1,000+ units | 30–40 days | Dedicated production line allocation |
These timelines assume standard OEM specifications — if your order includes custom-dyed PVC material, plan for an additional 7–10 days for material sourcing and dyeing before production can begin.
QC Process During Production
We run three QC checkpoints on every OEM production run. First, incoming material inspection: PVC thickness measurement (we verify 0.9mm top sheet to ±0.05mm tolerance) and thread density check on the drop-stitch fabric. Second, mid-production seam inspection: every HF-welded seam is tested on a random sample of in-process units using a pressure test at 1.5× rated operating pressure. Third, full unit pressure retention: all finished units are inflated, sealed, held for a minimum of 6 hours (not the full 48-hour test we run on product development batches, but sufficient to catch valve defects and major seam failures). Our first-pass QC acceptance rate on production batches runs at 96–97%. The 3–4% that don’t pass first inspection are either reworked and re-tested, or scrapped if the defect is structural. You are not charged for rejected units — the shipment quantity you paid for is what ships.
Third-Party Pre-Shipment Inspection
We support and actively encourage third-party pre-shipment inspection by SGS, Intertek, or Bureau Veritas. Our factory is open to inspectors by appointment during production and prior to loading. If you’re supplying Amazon US or EU through a distribution center, a pre-shipment inspection report adds a meaningful layer of protection against marketplace quality complaints and return cluster events. The cost — typically USD $250–$400 per inspection — sits with the buyer, but it’s consistently the most cost-effective insurance on a first production run with any factory.
Ready-Stock Option
For buyers who need faster fulfilment than a full production run allows, we maintain a ready-stock inventory of white-label (unbranded) air tracks in our most common sizes — 3m × 1m × 10cm and 4m × 1m × 20cm — in four standard colors. These can be shipped within 3–5 business days from payment. Branded labeling (stickers, hangtags, insert cards) can be applied at our warehouse before dispatch for orders above 30 units. This option is used frequently by Amazon sellers who need to launch a listing and begin generating reviews while their full OEM production run is in progress.
Step 5: Pricing, Certifications, and What a Realistic 60-Day Timeline Looks Like
Sixty days from first contact to a container on the water is achievable for a standard OEM order. It requires a buyer who arrives with a clear product brief and makes decisions promptly — it’s not a production constraint, it’s a decision-velocity constraint on the buyer’s side. Here’s what that timeline looks like broken down, and the pricing reference you need to build your margin model.
Private Label Pricing by Tier (FOB Guangzhou)
| SKU | 50–199 units | 200–499 units | 500+ units |
|---|---|---|---|
| 3m × 1m × 10cm (embossed PVC) | $38–$52 / unit | $32–$44 / unit | $26–$38 / unit |
| 3m × 1m × 10cm (suede top) | $46–$64 / unit | $40–$56 / unit | $34–$50 / unit |
| 4m × 1m × 20cm (embossed PVC) | $72–$95 / unit | $62–$82 / unit | $54–$72 / unit |
| 6m × 1m × 20cm (embossed PVC) | $98–$128 / unit | $84–$112 / unit | $72–$96 / unit |
Prices are FOB Guangzhou, inclusive of OEM logo print (up to 2 colors), branded carry bag, and bilingual instruction booklet on orders above 100 units. Pump kits (hand pump + electric pump) are included in our standard kit packages — specify your target market voltage at the brief stage. Landed cost for US West Coast importers: add approximately USD $4–$8 per unit for ocean freight on LCL at 50–200 units. EU Rotterdam: approximately €3–€6 per unit. Customs duty rate under HTS 9506.91 (gymnastics equipment) should be confirmed with your customs broker before finalising your pricing model.
Certifications Included
Our OEM air track production carries the following certifications, available to all qualified buyers at no additional charge:
- CE certification covering EN 71-1 (mechanical safety), EN 71-2 (flammability), EN 71-3 (chemical migration) — required for EU retail and Amazon EU marketplace
- ASTM F963 test compliance documentation for US retail and Amazon US marketplace
- REACH SVHC compliance for all PVC materials — required for EU entry above de minimis thresholds
- BSCI social compliance audit (2023) — no critical findings, report available upon request
- SGS and Intertek third-party test reports available to importers with a signed NDA or confirmed order
The 60-Day Launch Timeline
| Days | Milestone | Who Drives It |
|---|---|---|
| Day 1–3 | Submit product brief, logo files, color selection, pay sample invoice | Buyer |
| Day 4–10 | Sample production (5–7 business days) | Factory |
| Day 11–15 | Sample transit to buyer (express courier, 3–5 days depending on destination) | Courier |
| Day 16–20 | Sample evaluation including 48-hour pressure test; written approval submitted | Buyer |
| Day 21 | Production deposit paid (30–50%); production order confirmed | Buyer + Factory |
| Day 22–45 | Production run (18–25 days for 50–199 units) | Factory |
| Day 46–48 | Pre-shipment inspection (optional, 1–2 days); balance payment; booking confirmation | Buyer + Factory |
| Day 49–55 | Cargo pickup, container stuffing, vessel booking, B/L issued | Freight forwarder |
| Day 55–60 | Container on the water; documents released; Amazon FBA shipment created | Buyer + Forwarder |
The timeline above assumes a first-round sample approval. Each revision round that requires a new physical sample adds approximately 10–14 days. The single most effective way to stay on the 60-day schedule is to arrive with a complete brief on Day 1 — confirmed spec, correct logo files, and a clear color reference. We’ve seen brands hit Day 60 with a container booked. We’ve also seen brands take 120 days because decision approval kept getting pushed internally. The factory lead time is the most predictable variable in this process.
Frequently Asked Questions
What is the minimum order quantity for a private label air track with custom branding?
Our absolute minimum for any order, including plain sample units, is 1 piece. For full private label with custom logo on the track surface, branded carry bag, and printed instruction booklet, the practical minimum is 50 units. Below 50 units, the per-unit setup cost for screen printing and custom bag production makes OEM uneconomical. For brands starting below 50 units, we offer a white-label option: standard-color tracks with your branded label pre-applied to the carry bag and track surface via adhesive hangtag — minimum 20 units. This gets your product in front of customers while you validate demand before committing to a full branded production run.
Can I order a sample first before committing to a production run?
Yes, and I’d recommend it for any buyer who hasn’t worked with our factory before. Sample orders of 1–10 units ship within 5–7 business days at small-batch pricing (approximately USD $58–$68 per unit for 3m × 1m × 10cm). The sample includes the full production kit: air track, double-action hand pump, electric pump, repair kit, carry bag, and draft instruction booklet. If your sample includes a logo print, provide the vector file and allow 1–2 additional production days. The full cost of your sample order is credited toward your first production order above 50 units — so your financial exposure at the sample stage is limited to shipping cost if you decide not to proceed.
Do your private label air tracks come with certifications for Amazon US and EU marketplaces?
Yes. Our production carries CE certification (EN 71-1, EN 71-2, EN 71-3) covering the EU marketplace and EU retail requirements, and ASTM F963 compliance documentation for the US marketplace. US Consumer Product Safety Commission (CPSC) guidelines for sports and recreational equipment apply at the importer level — your customs broker can advise on specific import compliance steps for your business entity. Full third-party test reports from SGS or Intertek are available to importers with a confirmed order or signed NDA. If your retail buyer or marketplace account manager requires documentation beyond these standards, contact us before ordering and we’ll confirm coverage before you commit to production.
What if I want a size or color that isn’t in your standard range?
Custom sizes outside our standard mold range — widths other than 1m, 1.2m, or 1.5m; or lengths not in 1m increments from 2m to 10m — require a one-time tooling fee of USD $300–$800 depending on complexity, and add 10–14 days to the sample lead time. Custom PMS color matching on the PVC sheet is available for orders of 200 units or above with a 7-day material lead time before production. For orders between 50–199 units, select from our 12 standard colors — they cover the majority of market-relevant colorways. We’ve had brands build successful private label lines within our standard specifications by differentiating on surface type (suede vs. embossed), logo design, and packaging rather than proprietary sizing.
How do I handle returns or warranty claims on my branded air tracks?
Our production warranty covers manufacturing defects — seam failures, valve defects, and material delamination — for 12 months from the production date. If a defect is confirmed as manufacturing-origin on inspection, we replace the affected units in your next order at no charge, or issue a credit note for the replacement unit cost. We provide a standard warranty policy document formatted for your brand’s use in customer communications — you can present this under your own brand name. For Amazon FBA sellers, we recommend including the repair kit (3 PVC patches + cement) in every retail carton. It reduces returns from customers who experience minor punctures, which are a normal wear item and not a manufacturing defect, and it’s a cost of approximately USD $0.80–$1.20 per unit added to your kit.
